These Terms & Conditions ("Terms") govern every vehicle rental, airport transfer, and related service booked through Happy Trip Uganda ("we," "us," "our," "Happy Trip Uganda Car Rentals"). By booking a vehicle or service with us, you ("the Renter," "you") confirm that you have read, understood, and agree to be bound by these Terms in full.

1. Eligibility to Rent
To rent a vehicle from Happy Trip Uganda, the Renter must:
- Be at least 23 years of age, with a minimum of 2 years' driving experience (higher-end vehicles, including the Land Cruiser V8 and premium SUVs, may require a minimum age of 25).
- Hold a valid driver's licence appropriate to the vehicle class being rented.
- For foreign nationals opting for self-drive, hold a valid International Driving Permit (IDP) alongside their home country licence, unless exempted under East African Community reciprocal licence recognition.
- Provide valid identification — a passport or national ID — for verification purposes.
We reserve the right to decline a booking or refuse vehicle handover if these requirements are not met at the point of pickup.
2. Booking & Reservations
Bookings may be made via our website, email, phone, or WhatsApp. A booking is only confirmed once we have issued written confirmation and received the applicable deposit. Verbal or informal enquiries do not constitute a confirmed reservation. We recommend booking at least 2–4 weeks in advance during peak travel seasons (June–September and December–February), as vehicle availability is limited during these periods.
3. Required Documents
Before vehicle handover, the Renter must present:
- A valid passport or national ID
- A valid driver's licence (and IDP, where applicable)
- Proof of the security deposit payment method
- A signed copy of the rental agreement
Additional documentation may be required for cross-border travel — see Section 12.
4. Payment & Security Deposit
Rental fees are quoted in USD or UGX and must be paid in accordance with the terms confirmed at booking — generally in full upfront for short-term rentals, or as agreed in the rental contract for long-term bookings. We accept bank transfer, mobile money, and major credit/debit cards.
A refundable security deposit is required before vehicle handover, typically ranging from USD 300 to USD 700 depending on vehicle type. The deposit covers any damage, traffic violations, or contractual breaches occurring during the rental period and is returned after a satisfactory post-rental vehicle inspection, less any applicable deductions.
5. Cancellation & Refund Policy
Cancellations made 7 or more days before the scheduled rental start date are eligible for a full refund of the deposit. Cancellations made within 7 days of the start date may forfeit the deposit in part or in full, at our discretion, to cover vehicle preparation and lost booking opportunity. No-shows without prior notice are treated as late cancellations under this policy. Refunds, where applicable, are processed within a reasonable period following cancellation confirmation.
6. Insurance & Liability
All vehicles are provided with comprehensive insurance covering third-party liability, and, depending on the package selected, own-damage and theft coverage. The Renter remains responsible for any excess/deductible specified in the rental agreement in the event of a claim. Insurance coverage may be void, in whole or in part, if the vehicle is used in breach of these Terms — including unauthorized off-road use beyond marked tracks, use by an unauthorized driver, or operation while impaired.
Renters are strongly encouraged to hold their own personal travel and medical insurance in addition to the vehicle coverage provided.
7. Fuel Policy
Vehicles are provided with a full tank of fuel at handover and must be returned with a full tank, unless otherwise agreed in writing. Fuel costs during the rental period are the Renter's responsibility. Vehicles returned with less fuel than provided will be charged for the shortfall plus a refuelling service fee.
8. Mileage Limits
Short-term rentals (daily and weekly) are generally provided with unlimited mileage unless stated otherwise at booking. Long-term rentals (monthly and extended hire) are subject to a standard mileage allowance of 2,000–3,000 kilometres per month, with additional charges applying per kilometre for any distance exceeding this limit. Renters anticipating extensive travel should discuss an unlimited-mileage arrangement at the time of booking.
9. Self-Drive vs. Chauffeur-Driven Rentals
For self-drive rentals, the Renter is solely responsible for operating the vehicle in compliance with Ugandan traffic law, including current speed limits, seatbelt requirements, and left-hand driving regulations. For chauffeur-driven rentals, a professional driver provided by Happy Trip Uganda operates the vehicle; the Renter may not operate the vehicle themselves under a chauffeur-driven booking unless expressly agreed in writing. Only drivers listed on the signed rental agreement are authorized to operate the vehicle at any time.
10. Permitted & Prohibited Vehicle Use
Vehicles may not be used for any of the following without our prior written consent:
- Subletting, resale, or transfer of the rental to a third party
- Use for any illegal purpose, including transport of prohibited goods
- Racing, off-road use outside marked tracks or designated park roads, or towing
- Overloading beyond the vehicle's stated passenger or cargo capacity
- Cross-border travel without prior authorization (see Section 12)
Breach of this section may result in immediate termination of the rental without refund, and the Renter may be held liable for all resulting damages, fines, or losses.
11. Vehicle Condition, Damage & Breakdowns
A joint inspection is conducted at both handover and return, documenting the vehicle's condition. The Renter is responsible for any damage occurring during the rental period beyond normal wear and tear, subject to the insurance terms in Section 6. In the event of a mechanical breakdown not caused by Renter negligence, we will arrange repair or a replacement vehicle as promptly as possible. Our 24/7 support line should be contacted immediately in the event of any breakdown, accident, or mechanical concern.
12. Cross-Border Travel
Cross-border travel into Rwanda, Kenya, or Tanzania is only permitted with prior written authorization from Happy Trip Uganda. Approved cross-border rentals require COMESA insurance, a vehicle authorization letter, and any additional documentation specific to the destination country, all arranged through us in advance. Additional fees and a larger security deposit typically apply to cross-border bookings. Taking a vehicle across an international border without prior authorization is a material breach of these Terms.
13. Extensions & Late Returns
Requests to extend a rental period should be made as early as possible and are subject to vehicle availability. Vehicles returned later than the agreed date and time without prior arrangement will incur late-return fees, calculated at the applicable daily rate for each additional day or part thereof.
14. Add-Ons & Optional Extras
Optional extras — including GPS navigation, child car seats, camping gear, rooftop tents, and additional drivers — must be requested at the time of booking or confirmed in advance, and are charged in addition to the base rental rate. Availability of add-ons is not guaranteed unless confirmed in your booking.
15. Accidents & Emergencies
In the event of an accident, the Renter must notify Happy Trip Uganda and, where applicable, local police authorities immediately. The Renter should not admit fault or liability at the scene. Full cooperation with our team and, where relevant, insurers during any subsequent investigation is required under these Terms.
16. Limitation of Liability
To the maximum extent permitted by Ugandan law, Happy Trip Uganda's liability arising from any rental is limited to the value of the rental fees paid. We are not liable for indirect, incidental, or consequential losses, including but not limited to missed flights, lost bookings, or trip interruption, except where such liability cannot be excluded under applicable law.
17. Privacy & Data Use
Personal information collected during booking — including identification documents, contact details, and payment information — is used solely for the purposes of processing your rental, complying with legal and insurance requirements, and providing customer support. We do not sell or share your personal data with third parties except where required for insurance claims, legal compliance, or cross-border documentation.
18. Governing Law
These Terms are governed by the laws of the Republic of Uganda. Any disputes arising from a rental agreement with Happy Trip Uganda shall be subject to the jurisdiction of the courts of Uganda.
19. Changes to These Terms
We may update these Terms from time to time to reflect changes in our services, pricing structure, or applicable law. The version in effect at the time of your booking, as reflected in your signed rental agreement, governs that specific rental. We encourage returning customers to review this page before each new booking.
